The meeting was called to order at 3:35 p.m. in the Town Hall Boardroom.
Approval or
Correction of Minutes
The sign to be posted at the festival grounds will match the Greenways signs in color and appearance only. Additional space will be left at the bottom of the sign in the event that more regulations need to be added at a later date.
There was some confusion as to why the PRFAC was interviewing. The tape from the previous meeting was reviewed and the committee had made the request to talk with the candidates prior to making a recommendation to the Aldermen. The committee members acknowledged that it was not the PRFAC job to interview.
The committee wanted to make it a point to ask that both candidates not only serve in the advisory capacity but also to help to get festivals.
Mr. Massey stated that he was not sure if Charlie Cobble would be returning for an event in the valley. He had also heard that Gene Lummus might not have the Spring Rally.
The Committee went on to discuss allowing camping during festivals for the vendors. It is discouraged, but exceptions could be made for special circumstances.
Discussion with
Both candidates have the experience and are willing to take the time to solicit events for the festival grounds.
The grounds need to be marketed and a website developed or at least a link on the Town’s website should be added. Any type of advertising campaign would be beneficial. Mr. Edwards reminded the committee that it would take time and money to begin seeing results.
MR. WILKINS MADE A MOTION TO RECOMMEND THE APPOINTMENT OF BOTH
CANDIDATES TO TOWN COUNCIL.
MR. MASSEY SECONDED THE MOTION.
MOTION CARRIED UNANIMOUSLY.

Steering Committee
Due to Chairman Brown’s absence, a report was not provided.
Other Business
The committee discussed ideas for advertising.
► Sell advertising on the website
► Rent spots on the festival grounds sign
►Clean coins from waterfalls yearly.
► Sell t-shirts with waterfalls and elk on the front. This is the ideal time to market the elk.
► The posters are ready and have been distributed for the Wade Stock. The tickets are $10 with kids less than 12 years of age getting in free. The t-shirts are $12 for short sleeves and $14 for long sleeves.
The committee discussed lowering the fee to $500 per day in hopes of alleviating the problem with Eaglenest Entertainment. Successful events will advertise regardless of the requirements.
Now that lighting is in place, promoters save money by not having to get generators. With the additional amenities, more events should be forthcoming.
It was suggested that the committee look at the rate sheet again. The price for the Chamber could be increased from $500 to $750.00.
Once again, the conversation went to motorcycle rallies. Mr. Lummus is protected from competition. A blue grass festival does not compete with a bike rally.
The committee discussed the time frame for events vs. the time frame for payment. When an application is approved, the money should be submitted within 90 days. Events can be booked a year in advance. In the near future, as the festival grounds become more widely known, events could be scheduled two years in advance. Bookings will be on a first come first basis.

TOWN NON-PROFITS $750.00

MOTION CARRIED UNANIMOUSLY.
The parking lots need to have trashcans and benches at the festival grounds.
Wade Stock will be held annually. Next year, extra equipment will be needed.

There being no further business to discuss, the meeting adjourned on motion of Tammy Wight, seconded by Mr. Wilkins at 4:41 p.m.
